About employee scheduling apps

They replace the shared spreadsheet or break-room whiteboard: managers build the schedule, staff get notified and everyone can see who covers each shift. Matching clocked hours to shifts cuts down on disputes at the end of the pay period. They suit small teams with a handful of part-time staff as well as operations with several locations and rotating crews. Some center on a simple shared calendar; others add availability requests, shift bidding, break tracking and labor cost totals. Some are built for hourly shift work, others for salaried teams spread across departments.

What to look for

  • Check how shift swaps and time-off requests are handled, because a schedule that staff cannot adjust without calling a manager quickly becomes a bottleneck.
  • Look at whether the app records clock-in and clock-out times with location or device checks, since unverified punches undermine the hours you are paying for.
  • Consider how many people and locations the free tier covers, because scheduling apps often charge by active employee or by site once a team grows.
  • See whether schedules can be exported or synced to the calendar staff already use, so nobody has to check two places for their next shift.
  • Find out what the app does with employee names, contact details and location data, since a scheduling tool holds personal information about your whole team.

How we rank

Apps are ranked by their Google Play rating (weighted by how many people rated them), their number of installs, how recently they were updated and how closely they fit the category. Only apps we've reviewed are included.
