QuickBooks Workforce is a free app from Intuit that puts pay information and time tracking in the same place. Employees can pull up pay stubs and W-2s, clock in and out, and manage their hours, while managers and admins handle timesheet approvals and scheduling from the same tool. It has been on Google Play since October 2013 and has built a 4.7 average from more than 68,000 ratings, with over five million installs.
The main reason to consider it is that it closes the loop between the hours a team works and the money it gets paid. Instead of collecting paper timesheets and typing them into payroll software later, a business already running QuickBooks Payroll or QuickBooks Time can have employees record their own hours and see their own pay details without calling the office. That is the pitch, and for teams that fit the requirements it is a tidy one.
Who this app is built for
To get the pay tools, a company needs a QuickBooks Online Payroll or QuickBooks Desktop Payroll subscription; the time tracking tools require QuickBooks Time.
For a business that already pays for one or both, the fit is much better. Hourly teams, field crews, contractors moving between job sites and shift-based operations all map onto what the app does: employees record time and check pay details, supervisors review and correct the records.
The split between the two halves matters when you are deciding whether to ask your team to install it. Someone whose company uses only QuickBooks Time will get the scheduling and timesheet side without the pay stub side.
Pay details employees can reach themselves
The pay side of the app is about access. Employees can look up pay stubs, W-2s and other pay information whenever they need it, rather than waiting on a payroll administrator to print or email a copy. That is a small thing until tax season or a loan application arrives, at which point being able to pull up a W-2 without a trip to the office is the whole point.
It also takes routine questions off the payroll desk. When staff can check their own pay records, the back-and-forth about what was paid and when drops away, and the administrator's time goes to work that actually needs a person. The developer promises savings on payroll costs and the removal of manual data entry, though the size of any saving will depend on how much paperwork a business was doing before.
The data flows into QuickBooks Online and QuickBooks for PC, including the Pro, Premier and Enterprise editions, and the app integrates with other payroll, accounting and invoicing software as well. For a business already inside that ecosystem, the value is that nothing has to be re-keyed between the time records and the books.
Clocking in, breaks and job switching
On the time side, employees can clock in and out, and the developer says this works even without Wi-Fi or a mobile signal, which matters for crews working in basements, rural sites or buildings with poor coverage. They can switch between jobs, pause tracking or take a break, and edit their own timesheets when something was recorded wrong. Time off requests can also be filed and followed in the app.
GPS location-based time tracking is part of the package, tying recorded hours to a place rather than just a timestamp. For businesses that need to show where work happened, that record is more defensible than a handwritten note. The developer pitches the detailed time log as protection against labor disputes and audits, which is a reasonable way to think about it: the value is in having a clean record when someone asks.
A project activity feed where employees can add photos and updates is limited to QuickBooks Time Elite. That is the tier where the more supervisory features live, and it is worth knowing before you promise a team a feature they will not see.
The admin side: approvals, schedules and alerts
Managers can approve, edit or delete timesheets, which is the core of the workflow. They can also schedule by job or by shift, create or modify schedules, and see who is working and where in real time. Day and week totals are visible at a glance alongside other time reports, so checking a pay period does not require exporting anything first.
Alerts do a lot of the policing. Push, text and email notifications are triggered when employees fail to clock in as scheduled or when they approach overtime, which means a supervisor hears about a problem while it can still be fixed rather than at the end of the week. Vacation, sick and holiday accruals can be tracked for each employee as well.
Two features sit behind QuickBooks Time Elite: a geofence that reminds team members to clock in or out when they arrive at or leave a job site, and oversight of team productivity and project status with the ability to adjust budgets, deadlines and resources. Reports come in PDF, CSV, online and HTML formats, and a developer open API is available for businesses that want to connect the data to something else.
What it costs
The app itself is free to download, carries no ads and offers no in-app purchases.
Some of the more advanced capabilities, including the geofence reminders, the project activity feed and the productivity oversight tools, are named as QuickBooks Time Elite features.
How it compares with the alternatives
Standalone time clock apps generally ask a team to adopt a new system and then find a way to get the hours into payroll. QuickBooks Workforce takes the opposite approach: it assumes the payroll and time infrastructure is already in place and acts as the front end for it.
Against paper timesheets and spreadsheets, the case is straightforward. Hours are recorded as they happen, approvals happen in the app, and the resulting log is detailed enough to stand up to a payroll query.
Against a general workforce management suite, the app is narrower. For a business already using Intuit's payroll and time products, that narrowness is a feature: there is less to configure and less to train people on.
A free front end for teams already on QuickBooks
The app costs nothing, shows no ads and asks nothing of you at the till, and in return it puts pay stubs, W-2s, timesheets and schedules in one place on your phone. The 4.7 average across more than 68,000 ratings suggests that people who fit the requirements tend to get on with it.
Employees on hourly or field work will get the most out of the clocking and pay access, particularly where signal is unreliable and the offline clock-in matters. Admins get approvals, scheduling and alerts that surface problems early.
My advice is to check two things before installing. Confirm which QuickBooks products your company uses, because that determines which half of the app you will actually see. Then ask whether the team is on QuickBooks Time Elite, since the geofence reminders and activity feed only appear there. If both answers line up, this is an easy recommendation.
The short verdict
A free, well-rated companion app for employees and admins already using QuickBooks Payroll or QuickBooks Time.
